Client overview
Our client is a US-based short-term-rental analytics platform that helps property managers and investors benchmark occupancy, rates and revenue across millions of listings. Its customers pay for market coverage and freshness: an investor evaluating a city needs every active listing, and a manager setting tomorrow's price needs yesterday's calendar changes. Listing and calendar data collected from rental portals is therefore the foundation of every metric the product shows.
The challenge
The platform's original coverage was built on two major rental portals and refreshed weekly. As competitors began advertising broader coverage and daily updates, customers started asking why Booking.com listings were missing and why calendars lagged. Adding portals and moving to daily refresh meant multiplying collection volume by more than five times, on a data team of four that was already stretched.

Coverage gap: Booking.com and several European portals were absent, leaving the platform unable to serve European markets its customers were expanding into.
Stale calendars: Weekly refresh meant availability and rate changes surfaced up to seven days late, undermining the dynamic-pricing recommendations customers relied on.
Volume and protection: The additional portals used aggressive anti-bot controls and JavaScript-heavy pages that the existing collection stack could not handle at daily scale.
The solution: a dedicated data acquisition team
DataDwip assigned a dedicated team of three engineers plus shared QA and a delivery manager to the client's listing and calendar collection. The team first ran a four-week pilot on the three hardest new portals, delivering daily to the client's Amazon S3 bucket in the client's schema and tracking freshness, coverage and quality against DataDwip's SLA each week. On conversion, the team took over the existing portals as well, so the client's engineers could concentrate on analytics rather than collection.

Scale
Six rental portals across North America and Europe are now collected daily, covering 3.2 million active listings and refreshing 90-day availability calendars, on infrastructure owned and run by DataDwip.

Freshness
Calendar and rate changes are captured every 24 hours and delivered before the client's 05:00 ET processing window, so pricing recommendations reflect yesterday's market, not last week's.

Data accuracy
Listings are de-duplicated across portals, validated for completeness and range, and sampled manually before delivery. Coverage per market is reported weekly against an agreed baseline, so gaps are visible before customers see them.
Results
The pilot converted to a full team on schedule, and the client's coverage story changed within a quarter.
Coverage doubled
Active listings tracked rose from 1.5 million to 3.2 million with the addition of Booking.com and three European portals, allowing the platform to launch European market reports its customers had been requesting.
Daily freshness
Refresh moved from weekly to daily across all portals, with 96% of deliveries inside the processing window in the first quarter and every miss reported with cause and fix.
No collection hires
The client's data team stayed at four and redirected roughly 30 hours a week from scraper maintenance to analytics features. Eleven portal changes were handled by DataDwip in the quarter, none of which reached customers.
Collection is now a line item with an SLA rather than a roadmap risk, and the client's product team plans coverage around what customers ask for, not around what its engineers can maintain.
